When the owner of a unit submits an access item, issues with the status 'Pending Access' will change to 'WIP'. On CommuDesk QMS, there are four transaction types that map out the cycle of possessors of an access item, from the beginning of defect rectification until the end. All of these transactions can be made unit by unit (individually), or in the case of two of the transaction types, as a batch, so that less time will be spent on performing the sign off for those transactions. Each step is mandatory, ie Step 1 needs to be done in order to do Step 2. The four types of transactions, in order, are:

  1. Submit: From Unit Owner to Project Management. This type can only be done individually.
  2. Handover (Submit): From Project Management to Project Dept. This can be done individually or by batch.
  3. Handover (Return): From Project Dept to Project Management. This can be done individually or by batch.
  4. Return: From Project Management to Unit Owner. This type can only be done individually.


METHOD 1: Individual Unit


1. Select Project.

2. Select 'Access Item' from the side menu.


3. Select Unit.


4. Select 'Make Transaction'.


5. Select the Type of transaction and fill out the necessary details. If the transaction type is 'Submit', the 'Name' and 'Quantity' of items need to be input. Select 'Add Item' if there are multiple types of items.


If the transaction is any of the other types, tap the checkbox on the right of the access items and proceed with the rest of the form. 


6. Tap on the blank space to toggle the sign off space. Sign and select 'Confirm'. This needs to be done by both parties.


7. When completed, select 'Submit'.


METHOD 2: Batch Sign-Off


1. Select Project.

2. Select 'Access Item' from the side menu.


3. Select 'Batch Sign-Off'.


4. Select a Transaction Type and select 'Proceed'.


5. Select the unit(s) and select 'Proceed'.


6. Select the access items of each unit that will be transacted and select 'Proceed'.


7. Tap on the blank space to toggle the sign off space. Sign and select 'Confirm'. This needs to be done by both parties.


8. When completed, select 'Submit'.
